Hey everyone,
First an apology...if you have received multiple notices about this
I'm sorry. I'm doing my best to make sure all AYA members have a
chance to vote in this thing (and it isn't as easy as one might think)
so if this is the second, or third, time you've heard about it...feel
free skip the remaining message.
Recently the subject of expanding or removing the restriction on the
dates in which the membership meeting and annual convention can be
held has received a lot of discussion on the Grumman Gang mailing
list. Currently, the AYA constitution states that "the membership
shall meet once a year, between the dates of June 15th and August
15th" and many have expressed that the date range may be more
restrictive than it needs to be.
So, to better judge how the membership feels I created a "straw poll"
on the AYA Forum. The proposal is to expand or eliminate the date
restriction for the membership meeting and convention. This will not
necessarily change when or where any specific convention is held as
that is still ultimately up to the volunteers that make a convention
proposal to the board of directors and take on the role of convention
chair. All this proposed change would do is to widen the window of
possibilities.
If you have ANY interest in when the convention and membership meeting
is held, I would appreciate it if you would take a few moments and
vote in the poll. It will be available thru the end of July and can
be found at the following location:
http://ayaforum.org/viewtopic.php?t=185
If you have difficulty with the above link, go to
http://www.ayaforum.org, click on the "Log in" link to log into the
system, then go to the "AYA Gatherings" forum and you will find a
posting titled "[ Poll ] AYA Convention Dates - Should the restriction
be changed?". Click on that and if you are successfully logged in you
should see the poll at the top of the posting. Make your selection
and click on the "Vote" button to record your vote.
Please note that you need to be logged into the AYA forum in order to
cast a vote (you can review the results without logging in). Also,
note that due to technical limitations the ayaforum.org site has a
different login than the main aya.org site. It is open to all AYA
members so if you have not created an account on the ayaforum.org
site, contact Steve Roberts (forumadmin(at)aya.org) with the user name
you desire and your AYA member number and he'll get an account setup
for you. Details are here:
http://www.ayaforum.org/viewtopic.php?t=106
If there is enough interest, I have volunteered to draft a proposed
amendment to our constitution and help with the necessary process. If
there is enough interest and the board agrees, the result of this
process will be sent to a vote of the AYA membership.
Thank you for taking a few moments to express your opinion. If you
have any questions, please feel free to contact me at
mwboyd(at)gmail.com.

Hi Mike,
Thanks for taking the time to include all of us. I've tried being an event coordinator in the past and if anyone thinks getting 3 people to agree is difficult, try getting 300 people to agree. I appreciate your efforts.
To begin with, setting the convention dates to coincide with school summer vacation is ok for those with kids or those who get time off during the summer, but, that is a minority portion of those of us in the AYA. It makes more sense to me to take advantage of the convention site and accept the losses.
As for past convention, all of the conventions I've attended in the Southwest, Sacramento included, or South, have been miserably hot. The Baraboo convention was rainy. I understand the Blue Ash convention was cloudy and rainy also. The best ones I've attended, weather wise, were Cody (2) and Sun River. Bolwing Green was nice too.
I didn't go to Canada because if the time and money I would need to invest. Cost benefit just wasn't there. Going to the caribbean would be worth it. I've been to Canada, I didn't leave anything there. Can't see going back.
Each area of the country has it's preferred season. It would make sense to me to optimize the convention site to the season. Now, I know there will be those die-hards who dislike or reject change for any reason but, why=2 0not make the most out of each convention without regard to those who can or can't make it for whatever reason. My guess is, at the very least, attendance would not be affected at all. The upside is, having a convention in New England in the fall would be freakin' awesome. Spring in the Rocky's. Lake Havasu in the winter.
